LOGIN

I can’t log in to Workday. Help!

  1. Click HERE to log into Workday
  2. Use the email address you use to communicate with ProLink for your username. You may want to test other email addresses if you are unsure which email is your primary email with ProLink.
  3. Click the "Forgot Password" link beneath the sign in box.
  4. You will be taken to the Forgot Password screen.
  5. Enter your email into the second open field labeled "Email Address". Your Email Address must match your Username.
  6. Click Submit.
  7. Check your email for the reset password link from Workday. Be sure to check your junk or spam folder.

If you are still unable to access your account after these steps, reach out to workday@prolinkstaff.com. Put “Login” in the subject line of your email.

TIMEKEEPING

How should I enter my time?

We have temporarily disabled the Workday timekeeping function due to some issues we are trying to resolve. When we have reenable the function, we will notify you as quickly as possible.

Until then, please email your timecards to timesheets@prolinkstaff.com.

In the email, please use this format:

  • Subject line: Legal Name and Worksite
  • Body of email:
  1. Date of shift
  2. Clock in and clock out hours
  3. Record any breaks

Will I record my hours worked with Workday when the timekeeping function is re-enabled?

If you used Bullhorn Back Office (BBO) to enter your hours prior to 2021, you will use Workday to enter your hours.

If you did NOT use BBO prior to 2021, you will continue using the same timekeeping system and you will NOT use Workday for timekeeping.

TAX

How do I enter my tax elections?

Before you can make your tax elections, your date of birth, social security number and home address must be entered and into your account. For help with entering this information, please see the following section, "What if I’m unable to enter my tax elections?"

  1. Select “Pay” application on Home Screen.
  2. In the box labeled “External Links” select “Tax Withholding Forms,” which will take you to the CIC website. 
  3. Review your Employee Information on the main page before selecting “Continue to Forms”. 
  4. Complete your Federal Tax forms – be prepared to enter elections for Dependents and any Deductions 
  5. Complete your State Tax forms.
  6. Once completed, selected “Continue” to return to the Employee Information page or you can update or review your forms by using the navigation buttons on the left.

What if I’m unable to enter my tax elections?

Before entering your Tax Withholdings using the “Pay” application, the following fields must be populated in your Workday profile: Home Address, Date of Birth and Social Security Number. Use the instructions below to add/update any missing/incorrect information: 

Home Address 

  1. On your home screen select “Personal Information” 
  2. Go to “Contact Information” in the Change box 
  3. Select Edit to update Home Address 

Date of Birth  

  1. On your home screen select “Personal Information” 
  2. On the following screen, select “Personal Information” in the Change box 
  3. Select edit next in the Date of Birth box to update Date of Birth 

Social Security Number 

  1. On your home screen, click on the cloud in the blue circle OR your profile picture at the top of the screen 
  2. Select View Profile (Name and ID number) 
  3. Scroll down to select “Personal” and select “IDs” tab  
  4. Select Edit to and “Change my Government IDs” in the drop down 
  5. Click on “+” to add your SSN 
  6. Country: “United States of America” 
  7. National ID Type: “Social Security Number (SSN)” 
  8. Add/Edit ID: Enter your SSN 
  9. Select Submit 

If you are accessing Workday from a mobile device, you may need to scroll down the page and select "More" to see the "Personal" option.

UPDATING YOUR ACCOUNT

PAYMENT

How do I update payment elections and accounts?

  1. Select “Pay” application on home screen
  2. In the box labeled “Actions” select “Payment Elections”
  3. “Add” a new account or “Remove” or “Edit” existing accounts*
    1. Must have minimum of one account for Direct Deposit payments
    2. Routing Transit Number, Bank Name and Account number required to Add new account
  4. Select “Edit” in “Payment Elections” box to update payment distributions between multiple account
  5. Up to 5 payment elections allowed
    1. If using multiple payment elections, the last election must have distribution type “Balance” to capture remaining Amount
    2. If using Percentage, must add up to 100%

*If you are editing an existing account from mobile, you must scroll in the white row of your bank table to view the "Edit" and "Remove" buttons. See screenshot below.

How can I view my paystubs?

  1. From your homepage, select the Pay app.
  2. Under “View” click the “Payslips” button.
  3. Scroll to the week you’d like to view. Click “View” button. Please note, if you are accessing from mobile, you will need to scroll over the paystub week to see the view button.

How should I utilize Paycor versus Workday? 

Workday is our new system that will replace the use of Paycor. You will use Workday to check your paystubs, change your personal information, complete a portion of your onboarding paperwork, elect benefits, and more.

If you would like to view your pay stubs from 2020, you should log into your Paycor account.

How do I access my W2 information for the 2020 year? 

Paycor will remain active for you to view or download your W2. Log in to Paycor with your current credentials to view your 2020 W2, as well as prior year W2s with ProLink. 

How do I reset my password in Paycor? 

If you log in to Paycor to view your W2 and forgot your password, select the “Forgot My Password” option. A new password will be sent to your email address. 

BENEFITS

How do I view my benefit elections?

If you were hired prior to November 2020 (i.e., you began working with ProLink in October 2020 or earlier), you will be able to view your benefits by:

  1. Click on the Benefits icon from your homepage
  2. Under the “View” section, click “Benefit Elections” or “Benefit Elections as of Date”

Please note, if your hire date was prior to November 2020, you will not be able to change your benefit elections until November 2021, UNLESS you have a qualifying life event (QLE).

I was hired on or after November 1, 2020. How do I elect benefits? 

Beginning January 4, 2021, benefit elections will be made in Workday. When you log in, you will see a benefits application on the homepage. Navigate to the application to begin making elections.  

New Hire Benefit elections can be made from the benefits application on the home page of Workday.

  1. You will select “Change Benefits - New Hire Benefits” to begin the enrollment process.
  2. If you do not have a benefits icon on the home page, please ensure all tasks are completed in your inbox on the home page of Workday.
  3. Once all On-boarding items have been completed, the benefits application will be opened for you to make elections.

My benefits enrollment period ended 12/31/20. What is my deadline to enroll?

If your benefits enrollment period ended on December 31st, you will have access to enroll in benefits until January 31.

When do I get my insurance cards? 

Insurance cards are issued when you elect benefits coverage. Please allow up to 30 days to receive your insurance cards.  

How do I receive my insurance cards? 

Your cards will be mailed to the home address you have on file, directly from our carriers. To view an electronic copy of your card, log in to Principal.com or Anthem.com.  

I need an employment verification complete. Who should the verifier contact be? 

Equifax (The Work Number) completes employment verifications for ProLink employees. For employment verifications, please visit www.theworknumber.com or call 800-367-5690.  

If a banker, property manager, car dealer, or caseworker asks you how much money you make or to prove where you work, send them to www.theworknumber.com, member@equifax.com, or call 800-367-5690. They can call, email, or visit The Work Number online to complete the employment verification.

How do I use the Workday App?

We have not enabled all Workday app functionality yet. We will notify you when that changes. Please use the online version of Workday until then.
